A complete guide to using Nexpod — workspaces, apps, profiles, sync, security, and more.
1. Getting Started
Download Nexpod for Windows from the homepage, then run the installer. On first launch, sign up for a free Individual account, or sign in with your Enterprise ID if your organization has already set one up.
- Individual accounts start clean: just the Main and Incognito profiles and an empty workspace, ready for you to add your own apps.
- Enterprise accounts start pre-loaded with your organization's team setup — the apps and workspaces your admin has already configured.
2. Workspaces & Apps
Workspaces group related apps together — for example, one workspace for "Work" and another for a specific client or project.
- Add an app to a workspace with Add App, giving it a name and a URL.
- Nest workspaces inside each other to organize larger sets of apps, up to the depth allowed by your plan.
- Use Split View to see two apps side by side inside the same workspace.
- Open a Tab within an app for a quick, temporary page without adding a permanent new app.
3. Profiles: Main, Incognito & Custom
Every app runs under a profile, which controls what browsing session (cookies, logins) it uses.
- Main is the default, persistent session most apps use — sign in once and every app on Main that uses the same service (for example, Google) stays signed in.
- Incognito is a private session, separate for every app, that never shares a login with anything else.
- Custom profiles let you create additional named sessions — useful for staying signed into the same service under two different accounts at once.
- You can clear a profile's cookies and cache at any time from Profile settings without removing the apps that use it.
4. Sync Across Devices
If your plan includes sync (Individual Max or any Enterprise plan), your workspaces, apps, and settings follow you when you sign in on another device.
- Turning on sync for the first time adopts your existing cloud workspace onto the new device; anything already on that device is kept safely rather than overwritten.
- The devices you're currently signed into appear under Profile → Devices.
5. Security & Privacy
Nexpod keeps every account fully separate, even on a shared computer.
- If more than one Nexpod account signs into the same device, each one gets its own apps, workspaces, settings, saved passwords, and browser sessions — nothing crosses over between accounts.
- The optional Password Vault is device-local by default: saved credentials are encrypted using your operating system's built-in secure storage and are never sent to the cloud.
- The vault is PIN-protected — set a PIN from Profile to lock and unlock it.
6. Notifications
Choose how each app lets you know about new activity.
- Pick between Nexpod's own in-app banners, native Windows notifications, or turning notifications off — globally or per app.
- Unread counts show up right on the taskbar and tray icon, so you can tell at a glance what needs attention.
7. Your Account & Subscription
Individual accounts can manage their own profile and plan directly inside the app.
- Update your display name and email from Profile → General.
- Free, Pro, and Max plans differ in how many apps you can add, how deep your workspaces can nest, and whether cross-device sync is included — see the plans on the Subscription tab.
- Changing plans signs you out once on your next sync, so signing back in applies your new plan right away.
8. For Teams: Enterprise Accounts
Enterprise workspaces are set up and managed centrally by an admin.
- Admins configure the shared App Setup — the apps, workspaces, and windows every member starts with — from the Enterprise portal at nexpod.io.
- Members can still add their own personal apps and workspaces alongside the managed setup; the two stay clearly separate.
- Admins manage members and their roles from the same portal.
9. Staying Up to Date
Nexpod checks for updates automatically and installs them in the background, so you're always running the latest version.
- Some releases are marked as required, usually to fix a security issue — devices on an older version are asked to update before they can continue.
- You can check for updates any time from the homepage's "Update my Nexpod" link or from inside the app.
